Job Purpose

We are looking for a People and HR Administrator with excellent organisation and IT skills to strengthen our HR team and work alongside our resources and staffing Manager across all our services across YMCA Together.


Hours of Work

The hours of work are 37.5 hours per week and may include some bank holidays- some hybrid work available.


Main Responsibilities

  • Support our staffing and resources manager and HR team to organise interviews and take an active role in the administration and participation of assessment days and interviews across services.
  • Support the HR team with onboarding administration by sending out bank worker agreements, offer letters, terms and conditions, request references, DBS requests, medical questionnaires and new starter process using our HRIS platform.
  • To work collaboratively with managers to organise overtime using our in-house scheduler app to source cover for services.
  • To be the first port of call when dealing with staff queries as and when they arise.
  • Promote flexible working internally and externally promoting the organisational benefits and “refer a friend” programme.
  • Carry out all administration for employee benefits including cycle to work, Medicash and Occupational Health.
  • Work with our resources and staffing manager to develop and deliver staff induction training co-ordination to ensure staff are ready to safely carry out their roles.
  • To be a role model and collate feedback regarding bank staff across all services in a kind and respectful manner.
  • To support with exit interviews for leavers within the organisation.
  • Act as a note taker during confidential meetings and staff forums as an when requested.
  • To support the HR team with reporting of over-time new starters, leavers and variations for payroll.
  • To build robust relationships with local universities, colleges, and local communities to ensure we are recruiting a diverse workforce and build YMCA profile which includes advertising roles across the region.
  • Attend external recruitment fairs when necessary.
  • Establish and maintain up to date employee records and all associated administrative tasks are completed such as application forms, DBS, right to work checks and supervisions are completed.
  • Work alongside the L&D Officer to collate training feedback, record training completion on the HRIS system and update central training matrix.
  • Be able to update employee records and set up new employee records on the HRIS system, uploading documents.
  • Issue letters and minutes of meetings for all employee relations cases.
  • Work alongside the team to carry out Individual and group consultations.

Professional Practice and Development

  • Attend regular supervision sessions with the Line Manger in accordance with the supervision contract
  • Maintain good professional practice and ensure ongoing development, through use of supervision and training
  • Respect the confidentiality of service users using the service and be responsible for the security of personal and confidential information
  • Carry out all these duties within the organisation’s safety guidelines.

Person Specification – People and HR Administrator


Qualifications

Essential

  • GCSE Maths and English or equivalent
  • Experience of working in HR or similar administrative role in a medium-large organisation for a minimum of 1 year

Desirable

  • Excel Level 1
  • Data/reporting experience
  • CIPD L3

Experiences

Essential

  • Experience of safe recruitment practices, leadership and Administration.
  • Experience of dealing with multiple HR Administrative tasks.
  • Able to deal with employment queries.

Desirable

  • Experience of payroll reporting.

Knowledge

Essential

  • Excellent Knowledge of Excel
  • Knowledge of Database Management
  • Knowledge of HR databases
  • Knowledge of employment law

Desirable

  • Knowledge of GDPR
  • Knowledge of work-based Health and Safety issues
