Job Purpose

Based across YMCA services your role will help with the implementation of a quality assurance framework across the organisation. Working with the Director of Quality and YMCA services to help embed and enhance staff engagement in the management of quality.

Your role will support services with evidencing high quality support, developing processes and establishing best practice.

Coordinating and Conducting Service Audits with Heads of Departments.

Providing effective data analysis around key areas of support and providing performance data for stakeholders.


Hours of work

37.5 hours across 5 days (flexible working may be agreed on request)


Duties and responsibilities

  • Assisting with the implementation of a Quality Assurance Framework highlighting good and bad practice, completing service audits with heads of departments, and developing policies and procedures to enhance both the quality of services and evidencing support.
  • Assisting the Director of Quality with the contract management of the Liverpool Accommodation Based Support Consortium. Including working closely with services to improve support standards.
  • Assisting YMCA and Consortium services prepare for external audits.
  • Ensuring data is compliant with NDTMS requirements and submitting NDTMS returns on behalf of the organisation.
  • Designing and providing performance reports
  • Identifying improvements and issues in the delivery of support and working with services to help evidence support.
  • Delivering workshops and updating process documentation to assist managers and support workers.
  • Building strong relationships with stakeholders both internally and externally to ensure that communications and relations are effective.
  • Identification and execution of ongoing process improvement opportunities, including working with the Director of Quality to establish shared data across YMCA services.
  • Management of smaller sub-contractors involved in the delivery of support including checking relevant DBS, insurance in place and delivery in line with targets.

Responsibilities to the Leadership Team

  • To provide Service Performance Reports and Quality Assurance Reports.
  • Ensure YMCA Together complies with contractual requirements.
  • Attend regular supervision sessions with the Director of Quality in accordance with the supervision contract.
  • Maintain good professional practice and ensure ongoing development, through use of supervision and training.
  • Respect the confidentiality of service users using the service and be responsible for the security of personal and confidential information.
  • Carry out all these duties within the organisation’s safety guidelines.

Representing YMCA Together

  • Attend meetings both internal and external.
  • Attend stakeholder days, forums, and other external events.
  • Represent YMCA Together at regional and national level from time to time.
  • Develop relationships with partner agencies.
  • Maintain up to date knowledge of NDTMS and contractual KPI’s and internal support standards.
  • Maintain up to date knowledge of YMCA Together services and the Liverpool Accommodation Based Support Consortium.

  • Attend and participate in meetings, when required, to ensure good communications and liaison with colleagues.
  • Prepare for and attend supervision and appraisal sessions with the Director of Quality, taking direction as appropriate and contributing to the development of both you and the services.
  • Collate data on the performance of the services and the findings of service audits making recommendations to the Service Managers and SLT to improve performance.
  • Provide training and support to services in relation to evidencing support and data recording.

The post holder will be expected to carry out other duties consistent with quality assurance and may be requested from time to time to demonstrate flexibility in all areas of their work. They will be expected to carry out some out of hours duties such as emergencies and reports requested at short notice.

Work within agreed policies recommending changes where necessary and co-operate with all other staff to ensure the best interests of YMCA Together are always a prime consideration.


Person Specification – Quality Assurance Manager


Qualifications

Essential

  • A significant level of experience or /and Housing, management or training related qualification.

Desirable

  • A degree level qualification or equivalent in a relevant discipline

Experiences

Essential

  • Experience of providing reports including analysis of data
  • Experience of managing support services
  • Experience of developing processes and procedures
  • Experience of working as part of a team
  • Experience of operational HR matters such as Supervising Staff/recruitment/ selection/ induction of employees and volunteers
  • Working knowledge of housing legislation, HMO requirements, Health & Safety, protection of vulnerable adults, safeguarding

Desirable

  • Experience of managing homeless/mental health/DA or recovery services
  • CIH level 4 or above in housing practice.
  • Experience of conducting/preparing quality audits

Knowledge

Essential

  • A comprehensive working knowledge of good practice in providing support services.
  • Working knowledge of housing legislation,  Health & Safety, protection of vulnerable adults, safeguarding

Desirable

  • Knowledge of YMCAT services
  • Working knowledge of systems including Mainstay, DAVE, NDTMS
  • Knowledge of CAT (cognitive Analytical Therapy
  • Knowledge of KPIs across the services
  • Proficient in the use of Excel
